Privacy policy

This policy explains how Elevage (we, us, our) collects, uses, stores and discloses personal information when you use:
- our website (www.elevage.ai)
- our web app (app.elevage.ai)
- our iOS and Android apps
Together, these are Elevage. The policy also explains how Ellie, our AI cellar assistant, handles what you say and type to her.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
The short version
- Your winery's records belong to your winery. We store and process them so the app can work.
- When you talk or type to Ellie, your words go to our AI providers, OpenAI and ElevenLabs, so Ellie can understand you and act.
- We don't store your voice, and neither does ElevenLabs. We do keep text transcripts of your conversations with Ellie for 30 days, so we can fix problems and improve her.
- We don't sell your personal information, and we don't use it for advertising.
- The app and your records are hosted in Australia. Some providers process information overseas, mainly in the United States and the European Union.
What we collect
Account and contact details. Your name, email address, password (stored in hashed form), your winery or business name, and the organisations you belong to.
Winery records. Everything you and your team enter or tell Ellie, including:
- vineyards and blocks, with addresses and map locations
- lots, vessels and measurements
- cellar work, tasks and operation sheets
- notes, plus any photos or files you attach
Information about other people. Some records include details about people other than you:
- names and email addresses of team members you invite
- names and addresses of despatch recipients
- people named in notes
If you enter someone else's information, please make sure you're entitled to share it with us. Your winery is responsible for the information it enters about its own staff and contacts.
Conversations with Ellie. What you say or type to Ellie, the text transcript of it, and Ellie's replies. When you speak, your voice goes to our AI providers to be turned into text and answered. We don't save the audio, but we do keep the transcript.
Usage and device information. This includes:
- how you use the app, such as screens visited, features used and errors encountered
- device and browser type, app version and IP address
- your approximate location, worked out from your IP address
Billing information. Your subscription and billing history. You enter card details directly with our payment processor, Stripe. We never see or store them.
Messages to us. Enquiries, support requests and in-app feedback.
How we collect it
We collect personal information directly from you in these ways:
- when you sign up or use Elevage
- when you talk or type to Ellie
- when you contact us
We also collect it from your team members, when they invite you or enter records that mention you. Some information, such as usage and device data, is collected automatically, including through cookies and similar technologies.
Elevage can't be used anonymously or under a pseudonym. Winery records need to be linked to the people who made them so they can support compliance programs such as Wine Australia's Label Integrity Program.
How we use it
We use personal information to:
- provide and operate Elevage, including understanding requests to Ellie and updating your records
- create, secure and manage accounts and organisations, and prevent fraud and abuse
- process subscriptions and payments
- respond to enquiries and provide support
- diagnose faults, monitor performance and keep the service reliable
- improve Elevage, including how accurately Ellie understands and acts on requests
- send service messages, such as verification emails, invites and notices of important changes
- send product news, which you can unsubscribe from at any time
- meet our legal obligations
Improving Ellie. Elevage staff who work on Ellie may read conversation transcripts to find out where she misheard or did the wrong thing, and to make her more accurate.
We don't use your winery data or your conversations for advertising, and we don't sell them.
Ellie and our AI providers
Ellie is an AI assistant, not a person. She relies on two third-party AI services:
- OpenAI powers push-to-talk and Ellie's other non-live requests. It turns your speech into text, interprets your request, speaks Ellie's replies, and turns spoken job descriptions into operation sheets.
- ElevenLabs powers live conversation with Ellie. It turns your speech into text and speaks Ellie's replies in her voice. ElevenLabs uses OpenAI to interpret your request and decide what to do, so OpenAI is involved in both ways of talking to Ellie.
What these providers receive:
- your voice audio
- the text of what you said
- your first name
- records from your organisation that are relevant to your request, including lists of your vineyards, blocks, lots and vessels, so Ellie can match what you say to the right record
How providers handle it:
- They process this information on our behalf.
- They are not permitted to use it to train their own AI models.
- ElevenLabs doesn't keep your audio. It keeps transcripts of live conversations for 90 days, then deletes them.
- OpenAI keeps request data, including the audio you send for transcription, for up to 30 days for security and abuse monitoring, then deletes it.
Where transcripts are kept. We keep transcripts in PostHog, the analytics service we use, on servers in the European Union. They're deleted after 30 days.
How Ellie fits in. Ellie can't be separated from the rest of Elevage — understanding what you say and acting on it is what the app does. So using Elevage means your conversations with Ellie go to the providers above. There's no version of the app that works without them.
If you'd rather that didn't happen, Elevage isn't the right tool for your winery, and you can delete your account at any time (see Your choices and rights).
Voice and identity. We don't use your voice to identify you, and we don't create voiceprints.
People nearby. Ellie can pick up other people's words, so keep that in mind when using voice around others.
Decisions. Ellie records and retrieves winemaking information at your direction. We don't use Ellie or any other automated system to make decisions that significantly affect people's rights or interests. Safeguards:
- Changes Ellie makes can be undone.
- Ellie can't delete records.
- Operation sheets she drafts are never run until a person has reviewed them.
Ellie can get things wrong. She can mishear a number or pick the wrong lot. Check what she records, and correct anything that's off — every change is in the record's history, and most can be undone.
Who we share it with
We share personal information only as needed to run Elevage, or where the law requires it:
- Your organisation. Members of your winery's organisation can see the records it holds, including records that mention you.
- AI providers, as described above.
- Service providers that help us run Elevage (listed below). They may use the information only to provide their services to us.
- Professional advisers, such as lawyers and accountants, where needed.
- Authorities, where required or authorised by law.
- A buyer or successor, if our business is sold or restructured. They would have to handle your information in line with this policy.

Overseas disclosure
The app, your winery records and your file attachments are all hosted in Australia. The providers above that are based overseas receive only the information they need to do their job, in the countries shown. Your conversations with Ellie are the main exception: the audio and text go to the United States for processing, and transcripts are kept in the European Union.
We take reasonable steps, including contractual commitments, to make sure overseas recipients handle your information consistently with the Australian Privacy Principles.

Wine Australia's Label Integrity Program requires wineries to keep certain records. Please export anything you need (Settings → Export) before closing your organisation's account.
Your choices and rights
- Access and correction. You can view and edit most information directly in the app. You can also ask us for a copy of the personal information we hold about you, or ask us to correct it.
- Delete your account. Email us at ellie@elevage.ai and we'll delete your account.
- Deleting your account removes your personal details and stops anything further being sent to our AI providers.
- Winery records you created stay with your organisation, because they form part of its production records. They will no longer be linked to your account.
- If you own an organisation's account, deleting your account doesn't cancel the subscription. You can cancel that at www.elevage.ai.
- Delete your organisation's data. Organisation owners can close the organisation's account and ask us to delete its records.
- Unsubscribe from marketing emails using the link in any email.
- Cookies. You can control these through your browser settings.
We'll respond to requests within 30 days. We may need to verify your identity first.
Cookies and analytics
We use cookies and similar technologies on our website and app to:
- keep you signed in
- protect against bots
- understand how Elevage is used so we can improve it
We don't use advertising cookies, and we don't share data with data brokers.
Security
We protect personal information with:
- encryption in transit
- access controls
- hashed passwords
- reputable cloud infrastructure
No system is perfectly secure. If a data breach is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme requires.
Children
Elevage is a business tool for people aged 18 and over. We don't knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. If we make a significant change, we'll tell you in the app or by email before it takes effect. Examples of a significant change:
- adding a new AI provider
- changing how long we keep conversations
